Supporting the transformation of a Paris headquarters through a Smart Workplace approach

As part of the construction of its new headquarters in Paris, a French software publisher engaged our teams to implement a comprehensive smart workplace infrastructure. The objective: optimize workspace occupancy through an integrated, scalable, and user-centric technological approach.

Workspace optimization

The KD Workplace solution, designed for real-time workplace management, relies on IoT components such as:

  • Wireless occupancy sensors installed in meeting rooms, ensuring continuous and accurate space usage tracking
  • A scenario engine connected to booking calendars and sensors, automating meeting management rules (creation, shortening/extension, or cancellation)
  • Touchscreen tablets at meeting room entrances displaying real-time availability (free, reserved, or occupied) and enabling instant booking
  • 3D floor plans (KD Map) deployed on each level, providing clear visibility and enabling instant space booking

Following the success of this first phase, the client renewed its trust for the deployment of an advanced space allocation and stacking solution*, designed to adapt to evolving ways of working.

Space allocation

The KD Live Stack solution enables dynamic space management to :

  • Quickly identify underused or saturated open spaces
  • Anticipate peak occupancy based on team growth
  • Simulate space and team reconfigurations without disrupting operations

« The goal was to move from assigned desks to a desk-sharing model, while preserving the identity and specific features of the workplace.
We supported this transformation end-to-end: analysis, design, and implementation of a tailored solution.

The project was structured around several key steps:

  • analyzing occupancy data to better understand usage
  • designing an intuitive space planning interface
  • creating dashboards for real-time monitoring and management

A key aspect of the project was our mutual agility: each workshop brought new ideas or operational constraints, continuously enriching the solution.

Today, the deployed tool provides a unified view of open space occupancy by combining space planning data with real user presence, all visualized through interactive maps. The client was convinced by the approach—we worked for over a year on a V2, which went live in January 2026. This Smart Workplace project, where data and collaboration transform the workplace, was highly stimulating. Every session with the client team was a source of innovation. »
